Our management service incorporates the following services and responsibilities; our fully flexible service can be tailored to the needs of each organisation or individual whilst still maintaining our high standards of service.
The provision of high quality and reliable contractors to undertake all regular ongoing maintenance work for any estate is one of the most important items for the efficient running of the buildings and apartments. We include regular visits to estates to ensure any items of repair are noted and dealt with quickly and efficiently, and liaising with professional advisors and suitably qualified contractors to ensure the highest standards are maintained.
These maintenance items include:
Gardening and grounds maintenance (as required).
Cleaning of interior communal hallways, stairwells and windows (as required).
Interior and exterior decorating.
Minor insurance works.
General building and maintenance.
Collection of Service Charges and Ground Rent (if applicable):
The setting of budgets for the collection of Service Charges ensures that each development is maintained to a high standard whilst keeping costs to a minimum and allowing reserves to be retained for future planned expenditure. Our computer software enables us to set budgets, provide anticipated expenditure statements for all owners and issue Service Charge demands as required by current legislation and as set out in leases and transfer documents. It also allows us to monitor all expenditure throughout the financial year to avoid overspending on budgets.
Again, our software enables us to ensure that all aspects of our clients’ accounts are professionally and accurately maintained. All clients’ monies will be held and maintained in separate bank accounts as required by S.156 of the Commonhold and Leasehold Reform Act 2002. Detailed records of all transactions and expenditure made on behalf of clients will be held and at year end be issued to suitably qualified accountants for annual accounts to be provided for clients.
We will arrange and attend Annual General Meetings and Board of Directors meetings (as required), and issue minutes. All relevant paperwork for meetings, i.e. Notice, agenda, accounts, etc will be issued as required and set out in clients’ Articles of Association. All decisions made at meetings will be followed up and implemented as instructed.
We will act as Company Secretary (if required) on behalf of clients’ ensuring all necessary paperwork is lodged with Companies House and maintain statutory company records.
We will arrange Buildings and Public Liability insurance, Directors’ and Officers’ Liability insurance, Lift Inspection insurance (if applicable), through reputable brokers and obtain quotations prior to renewal to ensure that the best possible cover is provided.
We will provide a liaison point for residents for all enquiries relating to the management of the estate.
Services requiring additional fees:
Items requiring additional work on our part, e.g. major works, decorating, significant insurance claims, planning applications, etc, would normally be subject to separate additional fees, calculated on a percentage of the total cost of the works and subject to mutual agreement before commencement of the work, wherever practicable.
Any works requiring overseeing by a suitably qualified professional would also be subject to separate additional fees calculated on an agreed percentage of the total cost of the works.
The following services are subject to a separate charge, normally payable by the individual resident.
- Dealing with purchasers’ solicitors enquiries.
- Dealing with all matters following the sale of individual properties, including the transfer and issue of new share/membership certificates, as required.
